- Manual hours per year = invoices per year × minutes per invoice ÷ 60.
- Labour cost per year = manual hours per year × hourly cost.
- Labour cost per month = labour cost per year ÷ 12.
- Hours freed up per year = manual hours per year × assumed time reduction ÷ 100.
- Potential value of freed-up work per year = hours freed up per year × hourly cost.
- Potential value of freed-up work per month = potential value per year ÷ 12.
About the fields
- Minutes per invoice: the average time for the review you want to calculate, for example checking prices and contract terms.
- Hourly cost incl. overhead: salary, employer contributions and other staff costs.
- The pre-filled values are examples. Replace them with your own figures.
- 50 % is a scenario assumption, not a measured or guaranteed effect of PM.
Assumptions
The value of freed-up work equals the value of the estimated time freed up. It does not automatically mean lower spending or a guaranteed saving. Costs for PM and implementation are not included.
The calculation assumes the same average review time and hourly cost for all invoices entered. The actual time reduction depends on factors such as invoice complexity, available documentation and remaining manual work. Any gains from detected pricing errors are not included.
